The Context

A local cultural association hosts weekly events such as wine tastings, concerts, and community meetups. Bookings were collected via:

Each week, a staff member spent 6 to 8 hours manually consolidating submissions, checking seat availability, sending confirmations, and following up with reminders.

The Solution (Built with Make.com)

I designed and implemented a fully automated workflow that:

  1. Captures new bookings in real time via Google Forms

  2. Checks seat availability using a live Google Sheet

  3. Sends personalized confirmation emails including:

    • Date and time of the event

    • Location map

    • A cancellation link with self-service functionality

  4. Sends an automatic reminder 24 hours before the event

  5. Sends a feedback form after the event
